7 Breeder Email Templates

The Communication Cadence Plan tells you when and what to send. These templates are the actual emails, ready to fill in and ship.

Each template is written in a working breeder's voice. Direct, specific, no marketing fluff. Every one includes 2 to 3 alternate subject lines, suggested send timing, the purpose of the email, and a notes section with personalization and customization guidance. • Email 3, Breeding Confirmed and Litter Announcement. Sent the day a breeding is confirmed. Invites priority waitlist buyers to confirm interest within 7 days.
• Email 4, Litter Born. Sent within 24 hours of whelping. Confirms numbers and sets expectations for the next 7 to 9 weeks of communication.
• Email 5, Pick Day Match Confirmation. Sent individually when matches are made. Includes the matching reasoning, the 24-hour response window, and the path to pickup logistics.
• Email 6, Pre-Pickup Logistics. Sent 7 days before pickup. Covers what to bring, what to expect, and what to prepare at home.
• Email 7, Post-Pickup Check-in. Two versions of the same template, one for the 48-hour check-in and one for the 30-day check-in.

Format and how it works:

Includes plain-text versions (.txt) that paste cleanly into any email client (Gmail, Apple Mail, Outlook) and any email service provider (Mailchimp, ConvertKit, Klaviyo, Flodesk). Also includes a combined Word document with all seven emails formatted for clean reading and reference. Personalize the bracketed placeholders for each send, save your customized versions as templates in your email tool, and reuse them for every buyer and every litter.

Why this version is different:

Most "email templates for breeders" are either generic small-business templates with "[insert your breed]" tags, or they're marketing emails that read like funnel copy.
